Automated Data Matching Issue (DMI) Reminders
Gone are the days of chasing your clients down for documents to upload to HealthSherpa... automate your service with our latest feature!
The Data Matching Issue (DMI) Module is designed to automate your reminders to clients about uploading documents to verify income, citizenship, non-medicaid coverage, non-VA benefits, social security number, or loss of coverage.
Just navigate to the DMI Reminder Form, complete the required information (type of DMI, applicable household member, deadline), and your CRM will send both email and SMS reminders at 60 days, 30 days, 7 days, and 2 days, based on the deadline provided.
Your clients will have the ability to click the link in the email and upload their documents directly to you. Once they have uploaded the documents, you are notified and a task is created to upload those documents to the marketplace.
You can manage all of your outstanding DMIs inside of the Service Pipeline. Just drag to "WON" once the documents have been uploaded. Your clients will receive an automated email to provide confirmation once the documents have been submitted.
Objective:
To effectively utilize the Data Matching Issue (DMI) Module for ACA clients to streamline the process of collecting required documentation.
Key Steps:
Accessing the Module:
- Navigate to the "Service" tab on the contact profile.
- Select the ACA DMI reminder.Entering DMI Details:
- Choose the type of DMI (e.g., proof of income).
- Set the deadline by selecting or typing in the date (use slashes for formatting).
- Click "Add to DMI reminders" to trigger the workflow.Workflow Management:
- The opportunity will be created in the sales pipeline.
Initial email with instructions and deadline details will be automatically sent to the client.
- Follow-up emails will be sent based on the deadline proximity (60, 30, 7, and 2 days from deadline)Document Submission:
- Client uploads required documents through the document upload landing page.
- Confirmation email is sent upon document submission.
- Task is generated for the user to submit documents to the marketplace.Completion and Confirmation:
- Once documents are uploaded to the marketplace, drag the DMI stage in the sales pipeline to completion (stage WON).
- Tags are removed, and a confirmation email is sent to the client.
Cautionary Notes:
Ensure accurate selection and setting of DMI type and deadline.
Monitor task manager for pending tasks and deadlines.
Verify document submission and marketplace upload for each client.
